Summary for the Professional Development Coordinator Job Opening

The Professional Development Coordinator will work closely with the Director of Professional Development and Well-Being, the Professional Development Managers and other members of the Professional Development staff to develop and implement attorney development programming and initiatives at the Firm. The Professional Development Coordinator maintains professionalism and strict confidentiality in all client and Firm matters.

Katten is currently working remote at this time. After the office reopens, Katten will offer the opportunity to work from home with occasional office presence required (KattenFlex).

Essential Duties and Responsibilities include, but may not be limited to, the following. Other duties may be requested and/or assigned. - Assist in the planning and implementation of professional development programs and initiatives, including, but not limited to, substantive and legal skills trainings, lawyer onboarding and orientation, milestone events, and hybrid/virtual programs and events.

- Assist with the onboarding, orientation and integration of entry-level and lateral associates, counsel and staff-attorneys, including preparation of materials, scheduling meetings and programs, and responding to attorney requests for information.

- Assist with the execution and implementation of year-end and annual non-partner lawyer review processes.

- Assist with associate engagement and well-being initiatives, including providing administrative support to the Associates Committee, planning and execution of social events and coordinating well-being programs and events.

- Coordinate various aspects of professional development programs, including scheduling, reserving conference rooms, drafting and sending invitations, tracking invitees, coordinating with presenters, distributing materials, requesting audio/visual support from IT, ordering meals, managing expense reimbursements, and trouble-shooting all aspects of a program, while developing strong relationships with other operations departments and business professionals.

- Coordinate and “produce” training programs, including scheduling presenters and conference rooms, creating and sending invitations and reminders, tracking RSVPs, sending confirmations and instructions to presenters, hosting programs on Zoom, and liaising with all offices and support departments regarding training program arrangements and materials.

- Develop a working knowledge of CLE requirements in jurisdictions where the Firm has offices, assist with the tracking of the CLE compliance status of our lawyers, ensure that sign in sheets or attestation forms and other requirements are properly executed and maintained, including: presentation slides, timed agendas and other required documentation, and assist with other CLE-related tasks, as needed.

- Participate in internal meetings and calls within the Professional Development team.

- Process payment of consultant, coach, venue and other invoices and assist with expense reimbursements.

- Assist in routine department tasks which vary widely in level of complexity and perform special projects, as needed.

Knowledge, Skills and Abilities

- Bachelor’s degree required. One or more years of large law firm or professional services experience, ideally spent coordinating professional development trainings, programs, and events is preferred.

- Proficiency in Microsoft Office, including Outlook, Word, Power Point, and Excel. Knowledge of viDesktop preferred. Familiarity with and knowledge of MCLE rules and procedures a plus. Excel skill with 85% accuracy highly desired.

- Exceptional interpersonal and client service skills. Excellent oral and written communication skills. Ability to communicate with various stakeholders at all levels of the Firm with courtesy and diplomacy and to efficiently respond to requests and follow instructions.

- Outstanding organizational, planning, and project management skills, including database and spreadsheet management, data collection, and deadline tracking. Ability to compile and analyze large amounts of data and furnish concise, detailed information in various formats, including reports, e‑mail, or orally.

- Dependable team player who exhibits a high degree of initiative, critical-thinking skills, and excellent judgment. Works collaboratively and cooperatively with others in a team-oriented environment. Able to manage short deadlines, work under pressure, and respond appropriately in all situations.

- Exhibit high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment. Ability to work with frequent interruptions and adapt to changes in workflow.

- Impeccable attention to detail.

- Ability to occasionally retrieve and distribute files, written documentation, or office supplies weighing up to 10 pounds.

- Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position.
