The Professional Development Assistant will assist the Professional Development Department with various administrative responsibilities, as set forth below. The Professional Development Assistant will also take on other projects and duties and will provide general administrative support, as needed. This firmwide, non-exempt position can be resident in our Houston or Dallas office.

Essential Duties and Responsibilities:

CLE Support:
-Gain a working knowledge of CA, NY, and TX CLE rules.
Monitor attendance sheets and take timed agendas, create affirmation forms and codes, and coordinate logistics, as necessary.
-Input program and attendance data for Firm-sponsored CLE programs into Micron CE Manager, the Firm’s CLE tracking database.
-Input third party certificates into Micron CE Manager.
Reconcile attendance data and report attendance for Firm-sponsored CLE programs to the Texas State Bar.
-Distribute post-program evaluations to program attendees.
-Determine and enter teaching credits and communicate reporting instructions to program presenters as appropriate.
International training programs support, including audit of records entered by international program administrators.
-Client CLE program support and credit processing, including sending certificates and reporting attendance to state bars.
-Submit check requests for individual program applications in required jurisdictions.
-Assist in the preparation of materials for individual program applications.
-Work with CLE Specialist and individual lawyers to track state bar renewals, records of good standing status, etc.
-Assist in responding to attorney questions about training and development resources.

Knowledge Management:
-Publish e-Learning programs to Micron CE Manager and manage relevant data, including learning tracks, CLE credit, and usage.
-Coordinate lawyer access to Practising Law Institute and other external training programs, monitor usage, and interface with vendors.
-Assist with maintenance of Firmwide Training Calendar and Catalog.

General Departmental Support:
-Assist with the maintenance of spreadsheets and databases.
-Process departmental invoices.
-Coordinate travel and expenses.
-Assist with monitoring and responses to requests for external training approval.
-Other projects as needed.

Special Projects and Miscellaneous:
-Assist with other tasks and specials projects, as assigned.

Knowledge and Skills:
-Bachelor’s degree and a minimum of one year of experience in a professional environment, preferably in a law firm or other professional services firm.
-Strong technical skills, including proficiency in Microsoft Outlook, Word, Powerpoint, and Excel; knowledge of or ability to learn website design and distance learning technologies; proficiency in talent management software (preferably viDesktop) a plus.
-Strong organizational skills and ability to work under pressure, multitask, and meet deadlines.
-Must be a creative and thoughtful self-starter with excellent attention to detail, ability to issue-spot, project management skills, ability to carry tasks through to completion without prompting, and flexibility to handle evolving responsibilities.
-Strong work ethic and personal motivation, high professional standards, and demonstrated initiative and resilience.
-Strong interpersonal and communication skills; ability to communicate effectively and professionally, both orally and in writing, with lawyers, managers, and staff.
-Demonstrated professional judgment and ability to protect and maintain highly confidential and sensitive information.
-Strong client service orientation and ability to work well with internal and external clients.
-Ability to work independently and generate creative solutions, as well as work in a team environment.
-Ability to work flexible hours (including evenings and weekends, as needed) in a fast-paced, deadline-driven environment.

Physical Demands:
-Light physical effort. Requires handling of average weight files up to 10 pounds.
-Must be able to work at computer and telephone for extended lengths of time.

Working Condition and Environment:
-Work is normally performed in a typical interior office work environment.
-This is a full-time position that frequently requires hours in excess of the standard work-week in order to complete the essential functions of the job.
-Occasional domestic travel is required.

Education Required
-Bachelors or better.

Experience Required
-1 year: Experience in a professional environment, preferably in a law firm or other professional services firm.
