We have an opening for an Office Services Assistant in our Facilities Department. The Office Services Assistant will be responsible for supporting the Seattle office with copy projects, sorting and distributing mail, office and kitchen supply inventory, catering, and maintenance of the kitchen and conference rooms.

Responsibilities Include:
Office Services
- Monitor incoming messages to “Seattle Facilities” email address and respond promptly to requests for assistance.
- Complete copy, print, and scan projects for attorneys and staff as requested.
- Sort, scan, and deliver incoming mail, including interoffice shipments and distributions.
- Package and process outgoing mail to meet internal and vendor deadlines.
- Stock and monitor supplies in satellite copy/fax areas.

- Greet and direct visiting attorneys, clients, and guests.
- Screen and direct incoming calls.
- Schedule conference rooms and visiting attorney offices.
- Ensure proper and timely set-up and clean-up of food and beverages for meetings and events.
- Stock and monitor supplies in kitchens and conference rooms.

- Move boxes, supplies, and furniture as requested.
- Ensure visiting attorney offices are clean, stocked, and ready for scheduled visitors.
- Assist with office moves and new employee office setups.

- Ability to work well with others and promote a positive, team-oriented environment.
- Ability to organize, prioritize, and manage interruptions or urgent requests.
- Ability to communicate effectively with and to follow instructions from a diverse group of clients, attorneys, staff, and vendors.
- Ability to work overtime as needed to ensure adequate coverage.
- Willingness to periodically alter schedule to meet the needs of the department.
- Computer proficient, with the ability to utilize MS Office and a willingness to learn department-specific programs and tools.

Reporting to the Office Services Supervisor, the ideal candidate will have a minimum of 1+ years of experience providing catering, reception, or customer service support in a law firm, professional service, or hospitality environment.
