Responsibilities include, but are not limited to:

• Work with respective legal department managers and directors to manage day-to-day staffing requests to ensure timely completion of all tasks and maintain equitable allocation of resources
• Work closely with legal directors to monitor and adjust paralegal headcount and anticipate future staffing needs
• Coordinate with practice groups to identify areas for improvement and promote efficient utilization of paralegals
• Manage communications with internal client base and manage expectations with regard to assignments and time frames
• Track daily attendance of paralegals to ensure proper coverage and compliance
• Oversee weekly paralegal timesheets approval process and overtime requests
• Review weekly DTE entries to ensure accuracy and timeliness
• Schedule and oversee weekend on-call paralegal program across departments
• Approve paralegal vacation leave requests and ensure appropriate Holiday coverage
• Review of monthly departmental reports including headcount, staffing, productivity, P/L, invoices
• Work with Legal Recruiting on paralegal and yearly Project Assistant recruiting including reviewing resumes and interviewing candidates
• Assist with yearly Project Assistant orientation program including coordinating schedules, travel, content and training
• Facilitate new hire on boarding, office assignments, and orientation
• Assist with paralegal training programs to ensure training aligns to Firm’s needs and paralegal professional development
• Assist with annual and mid-year performance review process including soliciting and compiling written evaluations
• Coordinate department’s requirements with IT, Payroll, Finance, HR, Operations and Office Administrators
• Prepare annual paralegal budget, monitor and approve paralegal expenses
• Manage conference room set ups and AV coordination across offices including department meetings, interviews, and trainings
• Assist with out-of-town trial logistics, war room set ups, consultants and supplies for trial teams
• Prepare and update job descriptions for paralegal positions Firm wide to meet changing job requirements
• Ensure compliance with all Firm policies, and manage Professional Responsibility training to meet state licensing requirements
• Stay abreast of industry best practices and trends


• Bachelor’s Degree with a minimum of five years related paralegal management experience, preferably in a large law firm
• Proven leadership, management and organizational skills and experience serving as a coach and mentor to a large and diverse staff
• High degree of comfort interacting with partners, chiefs and directors and ability to manage communications between multiple levels of an organization
• Manage multiple priorities and deadlines in a complex and fast-paced environment
• Quickly and proactively identify problems and develop solutions
• Work independently while knowing when to seek consultation
• Professional demeanor, excellent organizational skills and strong presentation skills
• Willingness and flexibility to work extra hours to meet demands of the position
• Strong technical skills in Microsoft Word, Excel, PowerPoint as well as the ability to learn new software and applications
• Familiarity with current legal technologies used in case and deal management
• Familiarity with concepts of record retention and records management within legal environment
• Positive attitude and team builder
