Summary for the Legal Recruiting and Professional Development Assistant

The Legal Recruiting and Professional Development Assistant will work closely with the Legal Recruiting and Professional Development teams on implementing administrative support of the Firm’s non-partner legal recruiting and professional development initiatives. The Legal Recruiting and Professional Development Assistant maintains professionalism and strict confidentiality in all client and Firm matters.

Katten is currently working remote at this time. After the office reopens, Katten will offer the opportunity to work from home with occasional office presence required (KattenFlex).

Legal Recruiting

- Provide administrative support to the Legal Recruiting team for the Firm’s recruiting programs, processes and initiatives.
- Assist with lateral and student recruiting processes, including, but not limited to, maintaining updated records and data entry in the recruiting database (viRecruit), monitoring recruiting inboxes, assembling Firm materials for campus recruiting initiatives, aiding in preparations for interviews and processing candidate expense reimbursements, as well as, general expenses incurred by Legal Recruiting.
- Assist with planning, coordinating and executing the annual summer associate program.
- Administer payments/reimbursements for bar preparation courses, Bar Exam registrations, relocation expenses and stipends for all incoming associates. Assist in the onboarding and due diligence process for summer and first-year associates.
- Perform special projects as requested and other responsibilities as needed in support of the Legal Recruiting team.

Professional Development

- Provide administrative support to the Professional Development (PD) team for the Firm’s professional development programs, processes and initiatives.
- Assist with logistical aspects of professional development programming, including scheduling events, reserving conference rooms, drafting and sending invitations, tracking invitees, coordinating with presenters, distributing materials, requesting videoconference support, ordering meals, managing expense reimbursements, and trouble-shooting all aspects of a program, while developing strong relationships with other operations departments and business professionals.
- Administer CLE tracking, including, but not limited to, entering programs into the database, entering and validating attendance, and data entry of third party certificates.
- Collect course materials, agendas, and registration/attendance records necessary for CLE accreditation.
- Distribute certificates of attendance to clients and firm lawyers.
- Perform special projects as requested and other responsibilities as needed in support of the Professional Development team.

Knowledge, Skills and Abilities

- Bachelor’s degree is required; recruiting and/or professional development experience in a large legal services or professional services firm is a plus.
- General technology proficiency, including Outlook, Microsoft Word, PowerPoint and Excel. Knowledge of viRecruit (or other ATS) and/or viCLE/LMS (or other LMS) is beneficial as well.
- Excellent interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of attorneys, candidates, clients, staff, and outside contacts.
- Exceptional organizational, planning, and project management skills including record keeping, data collection, and system information. Ability to compile and analyze data and furnish concise, detailed information in report format, written correspondence, e‑mail, or verbally.
- Exhibit high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment. Ability to work with frequent interruptions and adapt to changes in workflow.
- Dependable team player with high energy, creativity, and vision who works collaboratively and cooperatively with others in a team-oriented environment. Ability to act independently within scope of the position’s responsibilities as a decision-maker and contributor on all levels.
- Work occasionally requires more than 37.5 hours per week to perform the essential duties.
- Ability to occasionally retrieve and distribute files, written documentation, or office supplies weighing up to 10 pounds.
